This guide discusses the entire PMP audit process and what initiates it, what documents are necessary, the expected timelines, and proven methodologies to pass the audit. You will learn how to prepare the audit package, common reasons for rejection, and the entire PMP application audit process.
The selection for a PMP audit is quite daunting. You have spent weeks working on the plans and evidence of your projects, and now, PMI wants to cross-check it all. This is normal.
But the fact of the matter is that the goal of a PMP audit is not to catch people. Audit is PMI’s way of holding the credential’s rigour in the case of the PMP. With the right set of documents and preparation, PMI will have no problem clearing your audit.
PMP application audit is a delicate process, and I will guide you through all the necessary steps.
PMI Audit is the process of engaging in a verification process regarding the documents you claim for accurate in the PMI application for certification. There are several PMI focuses on credentialing to maintain the reputation and worth of the certification offered.
Your educational background, together with your experience in project management, is assessed in your application for a PMP exam. The audit checks to ensure the claims are accurate and that the conditions outlined by PMI for verification are satisfied, which are part of the PMP certification requirements.
PMI audits the following for a PMP application:
PMI does a random audit for about 5-10% of the submitted applications and audits them. The PMP audit cannot be avoided or prevented, as it happens randomly after you submit your application.
PMI makes a selection of your application for audit. You will see a message on the dashboard of your PMI account. This is the point at which you will reconnect with the program, and it will be clear what to do:
PMI emails you a notification to inform you that your application has been selected for audit. Do not be alarmed; this is customary. You are required to log into your PMI account and go to the section that says "Audit Package".
There are three candidates which you have to complete in order to fulfil the PMP audit. You are required to upload:
| Document type | Whats needed | Source |
| Academic Education | Degree certificate or transcript | The university or college you attended |
| Professional Training | 35 contact hours certificate | Your training provider (ATP preferred) |
| Experience Verification | Reference contact details | Past managers, clients, or colleagues |
Completing and submitting audit paperwork must be accomplished within 90 days. Remaining days can be monitored on the PMI dashboard. There are no extensions for this deadline: absence of submission, the application will expire, and a full reapplication process must be initiated.
PMI will need five to seven business days to examine the provided documents. PMI will approve the application if all the documents are properly provided, and will subsequently send the payment instructions.
The PMI wants to see if you really managed and directed the projects on your application. They're not checking if you simply contributed to projects. They need proof that you managed the projects and had responsibilities that came with being a project manager, demonstrating strong project leadership.
Your experience qualifies if you:
The most important element is proving that you managed, directed, and controlled activities in your organization. Simply being a member of the project team does not count.
With the experience of helping hundreds of candidates with the audit, these strategies work for them:
Contact your supervisor or the person you report to before you submit your PMP application. Discuss with them the steps you want to take because of the verification process of your experience, and the fact that they may need to assist you at some point in the audit. Reach out to your prior manager to sponsor your experience validation. They could confirm your work in the context of PMI. Peers, clients, or sponsors who have worked closely with the candidate’s project also provide meaningful validation.
Keep checking to see the responses and update your audit package in case PMI project experience verification email responses have been received.
Describe your 36 months of project experience in accordance with PMI’s requirements; the most common reason for rejection will be in regard to the documented project experience and inadequately demonstrating the leading and directing roles. Clarify your empowerment in relation to the team governance, the project, and the results.
A reminder that your application would be invalid after 90 days, and should the audit be incomplete. Keep track of your timelines, sponsors to be followed up with on a weekly basis, and document collection shouldn’t be at the last minute. With the set time, the target date will result in zenith value outcomes.
Confirm that the training certificate awarded shows clearly the 35 contact hours. Your degree certificate should be checked to ensure it is visible and complete. The reference contact information provided needs to be true and verified through proper project documentation.
There are some faux pas I have witnessed that affect otherwise competent candidates' ability to advance:
It is important to understand the ways to understand the complete timeline to be able to manage it in the best way possible and avoid situations that can lead to project failure.
In this case, there is first the “what happens” and after “what happens”, there are 5-7 each hour in the next business days. You count those each time on the PMI side.
The documents you are in positive possession of are the “what happens” parts, with no inner workings that PMI will be willing to approve. You are guaranteed approval from PMI for the info you have if you are willing to suffer rejection. Of course, rejection is a stretch.
PMI's issues can be resolved by obtaining help from the audit team. Sometimes a quick phone call or extra paperwork solves the problem.
The audit process of a PMP application is simple, provided the process PMI has is understood. A basic form of documentation is needed to affirm the education and experience fields you filled out in the application.
Be mindful of the following:
Remember, the PMP audit is the final stage before the certification exam, and with proper documentation and preparation, you are more than likely to pass.
